The HRPay Pick team has backgrounds in small business operations, HR management, and B2B software evaluation. We have helped dozens of teams evaluate, implement, and switch between payroll and HR tools — which means we have seen firsthand what the marketing materials leave out.

We built this site because the same costly payroll mistakes keep repeating: businesses overpaying for enterprise features they don't use, locking into annual contracts before testing direct deposit timing, or choosing the wrong tool for contractor vs. W-2 employee workflows.

How we evaluate tools

1. Direct pricing verification

We check pricing pages directly on vendor websites. Payroll pricing changes frequently — some tools update quarterly. We record the date of each verification and update articles when prices shift. When you see a price in our guides, it reflects what was live on the vendor's public pricing page at the time of our last review.

2. Support quality testing

Support quality matters more for payroll software than almost any other SaaS category — a payroll error on Friday afternoon needs a fast, knowledgeable response. We contact support teams directly to test response time, channel availability (phone vs. chat vs. email), and the quality of answers to common payroll questions.

3. Use-case specificity

We avoid generic "best payroll software" rankings that don't account for the difference between a 3-person restaurant with tipped hourly workers and a 30-person remote startup with multi-state employees. Every guide identifies the specific business type and payroll scenario it is written for.

4. User review analysis

For each tool we cover, we analyse verified reviews on G2, Capterra, and Trustpilot. We look specifically for recurring complaint patterns — not individual anecdotes — and flag complaints that appear in 50+ reviews as consistent issues that prospective buyers should factor into their decision.
